Personal Space, Positioning, and Body Language for Staff Safety

How distance, stance, and body language help frontline staff stay safe and keep tense situations from escalating.

Before you say a word, your position and posture have already sent a message. Used well, they calm a situation and keep you safer. Used carelessly, they can make a person feel trapped or challenged.

Give people room

A person who is upset needs more personal space than usual, not less. As a general habit, stay more than an arm's length away, and increase the distance if the person is agitated. Stepping back is not weakness. It lowers pressure for both of you.

Stand at an angle

Standing square to someone, face to face, can feel confrontational. Stand slightly to the side, with your feet apart and your weight balanced. This reads as less threatening and lets you move easily.

Keep your hands visible

Hands open and in front of you, around waist height, signal that you are not a threat. Avoid pointing, crossed arms, hands on hips, or hands in pockets.

Watch your face and eyes

Aim for a neutral, attentive expression. Make natural eye contact without staring. Some people experience prolonged eye contact as a challenge.

Think about exits

  • Know where the exits are in every room you work in.
  • Do not block the other person's way out. A person who feels cornered is more likely to lash out.
  • Do not let yourself be cornered either. In offices, sit where you can reach the door.

Mind the level

If the person is sitting, standing over them can feel intimidating. If it is safe, sit or lower yourself to their level while keeping your distance.

Never go alone into a risky situation

Let a coworker know where you are. Work in pairs when you have concerns, and agree on a simple signal for "I need help."
