Front Desk Security Best Practices for Shelters and Housing Sites

How front desk and security staff can keep a shelter or housing site entrance safe, welcoming, and well run.

The front desk sets the tone for the whole building. It is where safety and hospitality meet, and where many incidents either start or are prevented.

Greet everyone

A greeting is a security practice. Acknowledging each person by name, with eye contact, tells them they have been seen and tells you how they are doing today. Most problems are easier to solve at the door than on the floor.

Control access consistently

  • Know who is a resident, a visitor, staff, or a vendor.
  • Use the sign-in process for everyone, every time.
  • Do not let people follow others through a secured door.
  • Apply the visitor policy the same way to all.

Consistency is what makes rules feel fair.

Stay alert

  • Keep your eyes up, not on a phone.
  • Watch for warning signs: changes in a person's usual behavior, arguments forming, someone waiting too long.
  • Walk the area on a schedule.

Handle rule conversations privately

Correcting someone in front of others invites a confrontation. Lower your voice, step to the side, and explain the reason for the rule. See our de-escalation phrases.

Protect privacy

Keep sign-in sheets and screens out of view, and do not confirm to callers or visitors who is staying at the site. See confidentiality basics.

Know the emergency plan

Desk staff should know without looking it up:

  • When to call 911 and what to say
  • The site's exact address and entrances
  • Who the on-call supervisor is
  • How to reach coworkers quickly

Keep the desk ready

A tidy desk with working phones and radios, a current shift log, and nothing that could be grabbed and thrown.
